The Fleet section tracks two kinds of equipment using the same underlying database: Internal assets — your own trucks, vans, mowers, generators, pressure washers, anything with a meter or a service interval. Lives at Fleet in the nav. Customer-side assets — equipment AT a customer's site that you maintain: HVAC units, water heaters, boilers, pool pumps, sprinkler systems. Lives on each contact's detail page under the Equipment card. Adding an asset Internal: Fleet → + Add asset . Customer: open the contact → Equipment card → + Add . Fill in name (e.g. "Truck 02 — F-150" or "Roof unit A — Carrier 5-ton"), make, model, serial / VIN, in-service or install date, warranty expiration, current odometer + hours, location, and notes. All optional except the name. Preventive-maintenance schedules Open an asset → + Add schedule under "Preventive maintenance." Each schedule has: A task name ("Oil change", "Filter replacement", "Quarterly inspection"). One or more cadences — days, miles, hours. Whichever comes first triggers the reminder. A reminder window in days (default 7). Examples: Pickup truck: Oil change every 90 days OR every 5,000 miles. Riding mower: Blade sharpen every 25 engine hours. Customer HVAC: Filter replace every 90 days. Logging service From the asset detail → + Log service . Date, work performed, parts, cost, technician (auto from your login), and current odometer / hours readings. If the service satisfies a PM schedule, pick it from the dropdown — FieldKrew advances the schedule's next due markers automatically. Logging service against a PM schedule also bumps the asset's current odometer + hours — your service history IS your meter history. PM-due reminders Every morning at 9 UTC, FieldKrew checks every Pro account for PM items within their reminder window or already overdue. Batched into one email per owner per day, with a deep link to each asset. No more "I forgot to change the oil and now the warranty is voided" surprises. Customer equipment = service contract foundation Customer-side assets accumulate a permanent service history per customer per piece of equipment. Install date, warranty window, every service performed, parts used, who did it. This is the paper trail that makes service contracts ("I'll maintain your HVAC for $X/year") possible — and the thing carriers ask for when there's a warranty dispute. Retiring an asset When a truck or unit is sold or scrapped, hit Retire on the detail page. The asset stays in your history (so the service log is preserved) but drops off the active list and stops triggering PM reminders.
